Open Question: Another question in Visual Basic 6.0?
Using the following information, how can i create a running software using visual basic.
THE PROPOSED SYSTEM
The system will be a computerized system called the Miriana Real Estate Information Management System. It will prompt users to enter their usernames and passwords in order to access any Miriana computer resources, hence ensuring resource security.
When a client comes for a home, or a house, they will be required to state the details of what they want i.e. they will explain if it is a rental home or a stall. The secretary (to the property registrar) will present to the client a form of the specified property in which they will fill in the details required. The details will include: name, ID card number, rooms applied for, employment status, and amount to be paid per room among others.
Then, he/she shall be asked to choose the estate in which they want to live in. the secretary will then show the client pictures of the house chosen and the estate it is situated, and if specifications made do not meet the estate requested for, he/she shall be advised to take the next equivalent. On agreement, the client will sign the agreement document which will be taken to the legal officer and filed alongside a copy of his/her ID card.
The client therefore will be required to pay the total amount stated plus the deposit (that shall include an extra payment of one month-to act as security). All this transaction will be conducted through the system and all the required details must be entered before the transaction are completed, including the monetary figure, which must be entered. A receipt (that indicates the estate, plot number, rooms occupied, amount paid and transaction date) will be generated upon completion of the transaction. The process will barely take two hours as opposed to the current system’s three days.
Whenever an individual wishes to give out his/her plot, he will be required to produce a copy of valid ownership document, copy of ID card, name, personal contacts, and any other relevant document. They shall also be given the terms of payment and on accord, an agreement document shall be signed and it (document) shall be forwarded to the legal officer.
Since the system will be used to generate reports on auctioned property and plots in dire need of repair the users will be required to update the files for property auctioned and the property recently confisticated, entering the exact detail and description of that property including the owner, the plot and estate affected therefore serving as a backup document that shall be used to estimate damage caused.
A monthly report, giving details of rooms vacated shall be generated in the end month in a printed form and given to individuals who shall visit the offices to eradicate the problematic issue of writing on bulky chalkboards in the basis of advertising vacant rooms.
ADVANTAGES OF THE PROPOSED SYSTEM
a)It will reduce the problems of double registration of a member who wishes to change his/ her residence. The tenant’s data will simply be transferred to the new estate instead.
b)It will ensure data security since all users who will need any company information will be required to log on to the system and their actions monitored.
c)Easy retrieval of data as in the databases, the files will contain reference codes that when entered they will give details about data needed.
d)It will reduce the paperwork in the entire organization; hence reduce the piles of files in the cabinet.
e)The system will automatically generate reports on the auctioned goods/property.
f)It will save a lot of time in the process of data location and retrieval hence avoid inconveniences whenever a clients data is required
g) The system is going to help in increasing accuracy in data entry.
h)The system will make auditing much easier since accounting for every section within the Property Administration Department will be very simple i.e. the auditors will only check on the plot room numbers for every estate and calculate the amount they have spent over a given period of time.
i)The system will reduce the number of employees in the organization hence reduce the cost of employing many people.
